What does an Administrative Assistant do?

An Administrative Assistant ensures the proficient and smooth execution of everyday operations in the company.  They possess exceptional organizational, written, and oral communication skills and pay strong attention to detail. They are a reliable self-starter, consistent, and demonstrate strong problem-solving capabilities. Developing and maintaining strong working relationships with internal and external clients, vendors, staff, and management is integral.

A perfect candidate is proficient in MS Office, especially MS Excel, MS Word, and MS Powerpoint. They have proven experience as a clerical or administrative assistant and understand office management systems, policies, and procedures. Working knowledge of basic office equipment such as printers and fax machines as well as email clients like MS Outlook is preferred.

Administrative Assistant Responsibilities

    • Provide general clerical and administrative support to management
    • Answer and direct phone calls
    • Schedule and organize appointments
    • Plan internal meetings and take detailed minutes
    • Write correspondence emails, letters, memos
    • Assist in the creation of regularly scheduled reports
    • Develop and maintain a digital and/or paper filing system
    • Update and maintain company policies and procedures
    • Order office supplies and research competitive pricing with vendors and suppliers
    • Maintain a list of contacts
    • Make travel arrangements
    • Prepare and submit expense reports for reimbursement
    • Provide general support to office visitors
